What the official visit overview says
The Home Office can examine student sponsors before or after licensing, with announced, unannounced and remote activity. Its six audit themes cover immigration status, contact records, recruitment and records, tracking, safeguarding and general duties. The April 2025 overview is operational guidance, not a substitute for sponsor policy.
For an established sponsor, preparation should demonstrate ordinary practice. A recently written policy is useful only if staff can explain how it connects to the cases and records they manage.
Suggested preparation plan
Appoint a coordinator to receive requests, identify the authoritative record and track delivery. Agree how sensitive documents will be transferred through an approved channel. Keep a copy of what was supplied and a record of any explanation attached to it.
Ask each relevant team to walk through a routine case and a difficult case. The purpose is to identify gaps and make responsibilities clear. Interview preparation should improve factual accuracy; staff must not be coached to conceal problems or recite an invented process.
- Confirm the visit scope, contacts and arrangements from the actual correspondence.
- Create an evidence index organised by audit theme and responsible team.
- Test retrieval across admissions, registry, academic departments, welfare and partners.
- Record known exceptions and the genuine remediation already undertaken.
- Prepare practical arrangements for secure access, interviews and staff availability.
- Track outstanding requests and preserve the final version of each response.
After the visit
Keep a factual log of documents requested, questions requiring follow-up and any deadlines in later correspondence. Separate your own internal observations from a formal Home Office finding. Do not describe silence at the closing meeting as confirmation that the audit has been passed.
For remote work, test access controls and document transfer before sending material. An internal mock audit is a useful diagnostic exercise, but its outcome is not a UKVI approval or official rating.
