Connect placement approval, academic assessment and student monitoring while keeping work-permission checks distinct.

Determine the relevant permission

Appendix Student treats a qualifying placement as assessed and integral to the course. Duration rules depend on course and sponsor circumstances, with specific exceptions. Ordinary student employment is a separate question: do not assume every student has the same work allowance.

A placement approval should describe the educational activity, its dates and the evidence of assessment. The employer’s responsibilities and the institution’s sponsorship responsibilities need to be understood by both parties.

Suggested placement record

Create a placement record before the start date. Identify the host, supervisor, location, proposed duties, academic link and contact schedule. Have the academic team and compliance team review the same version so the course requirements and immigration assumptions are consistent.

Agree how a missed start, prolonged absence, changed role or early ending reaches the institution. Do not rely on a student’s final assessment to reveal a problem that should have been addressed during the placement.

  • Check the specific route, course category and permitted placement basis.
  • Record dates, host details, location and educational assessment requirements.
  • Identify the host contact and the institution’s decision owner.
  • Set a workable method for monitoring activity and escalating concerns.
  • Review changes before allowing the record to drift from the actual arrangement.
  • Retain completion evidence and reconcile it with the student’s academic record.

Help students understand the boundary

Give students a clear route for questions about a proposed job or placement. A casual job, self-employment, voluntary activity and an assessed placement can raise different issues. Where the answer depends on individual conditions, direct the student to competent advice and the official record.

A planning checklist cannot determine work permission. If the institution is also the employer, run the appropriate employment checks through the employer pathway as well.
